Keys are easy and cheap to copy. You should never allow unauthorised persons to retain, examine or handle keys. Ideally, keys should be kept on tamperproof or locking key rings to reduce any risk. |
 |

 |
 |
When not in use, all keys should be housed in a key cabinet that is fixed to a solid wall where, ideally, an alarm or CCTV system is present. Access to this key cabinet should be restricted to designated staff only and security notices should be displayed. |
 |

 |
 |
Keys should only be issued against a signature. Use a log book to track the movement of keys and use coloured tags to quickly identify the security level of each key (e.g. a red tag is for the highest level of security). |

Instead of displaying where the key is used on the key tag (e.g. IT room) create a key code list that uses code names for locations and assets. This will make it much more difficult for a criminal to identify the key’s use. |

Keep the key code list separate from the keys it relates to – there’s no point making a secure list that is easy to steal! |

 |
Limit the number of spare keys to an absolute minimum. Ensure that you have a copy of the keys incase the originals are lost. |

 |
Encourage staff to report lost keys immediately – ensure that staff don’t feel that losing a key is a punishable offence as they may try and cover-up any loss. |

 |
Some doors, such as emergency exits, may need to be locked throughout the day. However, keys would be required in the event of an emergency such as a fire. In this case keys should be stored in key boxes within a close vicinity of the door. Consider using an alarmed key box to deter unauthorised use. |
